1. Who we are
HBS Solutions B.V. (Koperstraat 1, 1362 JB Almere, the Netherlands; Chamber of Commerce 34134352) is the controller for the personal data processed through hbsfasteners.nl. Questions about this policy can be sent to sales@hbssolutions.nl.
2. What data we collect
When you request a quote, ask for a call back, request B2B access or contact us, we process the data you provide: name, company, business email address, phone number, KvK or VAT number, your message and any files you upload (such as parts lists or drawings). For B2B accounts we also process login data. Our website collects technical data such as IP address and browser type to keep the site secure and working.
3. Why we use your data
We use your data to answer your question, prepare and send quotes, call you back, set up and manage your B2B account, deliver orders and certificates, and keep our website secure. We do not sell your data and do not use it for automated decision-making.
4. Legal basis
We process your data to take steps at your request before entering into a contract and to perform a contract (Art. 6(1)(b) GDPR), to comply with legal obligations such as tax and bookkeeping rules (Art. 6(1)(c)), and for our legitimate interest in running a secure website and maintaining customer relationships (Art. 6(1)(f)).
5. How long we keep your data
Quote and call-back requests that do not lead to an order are kept for up to 24 months. Customer, order and invoice data are kept for 7 years to meet Dutch fiscal retention requirements. B2B account data is deleted within 3 months after the account is closed, unless a longer retention period is required by law.
7. Your rights
You have the right to access, rectify or erase your personal data, to restrict or object to processing, and to data portability. To exercise these rights, email sales@hbssolutions.nl. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
